July 15 deadline approaching for EMIS data collections

Several EMIS collections, including student records and most Ohio’s State Tests records, will close on July 15. As the school year wraps up and staff availability decreases, the Ohio Department of Education and Workforce urges school staff to submit records promptly. Timely submission ensures districts and schools have sufficient opportunity to review and validate their information, which directly impacts Ohio School Report Cards and Special Education Profiles.

As part of year‑end validation, districts should closely examine the following information within the Secure Data Center (SDC):

  • Enrollment and Attendance Reports
    Including student group enrollment and absenteeism.
  • Assessment and Proficiency Reports
    Covering test results, AMO participation, and OELPA progress.
  • Early Literacy Reports
    Including reading subscores, diagnostic assessments, and Third Grade Reading Guarantee information.
  • Career-Technical Education Reports
    Including concentrator status, technical skill attainment, and work-based learning participation.
  • Special Education Indicator Reports
  • Discipline Data Validations
    With a particular focus on records for students with disabilities.

These areas commonly contain data issues that can impact Report Card components and Special Education Profiles. Reviewing and correcting these items before the EMIS collection deadlines helps ensure accurate reporting.

In addition to SDC reports, the following EMIS Level 2 reports in the Data Collector are valuable tools to support districts in verifying year‑end data:

  • Where Kids Count (WKCD-001): Verifies which students will be included in accountability calculations for the Local Report Card based on Majority of Attendance IRN reporting.
  • Derive Reading Diagnostic Result Report (LTRC-001): Tracks student-level information regarding reading diagnostic assessments for grades K-3, ensuring students are properly assessed and monitoring their reading diagnostic status. These records directly impact the Improving K-3 Literacy measure on the upcoming Report Card as well as next school year’s measure.
  • General Issues (GNIS-xxx): These reports flag missing, inconsistent, or logically conflicting data elements across multiple collections. Because they cut across different reporting areas, GNIS reports often serve as early indicators of systemic data quality issues that require district‑level review.
